Philips Project Assistant to GM in Foster City, California

Executive Assistant

  • Managing heavy calendaring, including independently prioritizing meetings, calls, travel, and interruptions to optimize the GM’s productivity.

  • Arranging, coordinating, and preparing meetings, conference calls, videoconferences, and other related events.

  • Preparing meeting agendas, providing background information, and ensuring GM is briefed on critical items in a timely manner.

  • Collaborating globally with other assistants to organize meetings and customer visits.

  • Arranging complex and detailed travel plans and itineraries, compiling documents for travel-related meetings, organizing flights and hotels and managing logistics, including last minute changes upon request.

  • Liaise with various departments and levels in the company to coordinate work.

  • Handle details of a highly confidential and time-sensitive critical nature.

  • Complete and follow through on GM’s expense reports.

Project Management

  • Participate and lead projects for the General Manager and EI Management Team, including owning deliverables and working cross functionally to deliver against EI’s business and organization objectives.

  • Assist with budget management, including assisting the GM with requests that affect costs.

To succeed in this role, you should have the following skills and experience:

  • BA / BS or equivalent experience.

  • 2+ years of related administrative experience with progressive responsibility.

  • Critical thinking, research, analytical and problem solving skills.

  • Ability to independently take initiative and deliver high quality work.

  • Ability to anticipate the needs of the GM, with strong attention to detail, and ability to learn quickly.

  • Ability to work in a fast-paced environment with ambiguity and drive complex projects to success.

  • Ability to build and sustain highly collaborative work relationships with executives and colleagues.

  • Ability to be discrete, maintain confidentiality showing maturity and professionalism in communication with others.

  • Punctuality, adaptability, flexibility required.

  • Ability to be available outside of normal business hours as needed for support.


  • Strong Word, Excel, PowerPoint and Outlook (email and calendaring) skills.

  • Strong project management skills, including ability to track both short-term and long-term project deliverables with dependencies on other people and/or teams and against budget.
