Service Contract Manager

Challenge

As a Service Contract Manager you will be primarily responsible for ensuring that the company has a robust and sustainable service contracting and related risk management process. You will support RFP responses and contracting processes by using your strong drafting, reviewing, and negotiation skills, ensuring that legal, regulatory, and financial standards are followed. This role allows you to act as an extended arm of our dynamic sales and service teams.

Service Management

  • Risk Assessment, mitigation and recommendations regarding non-standard service offers and contracts. This may involve complete responsibility for an assigned contract or participating in the service component of a contract assigned to a peer.

  • Development, maintenance and compliance monitoring of relevant policies.

  • Negotiate contracts and commercial terms of service.

  • Support RFP team by reviewing RFP responses for compliance to Philips’ legal and regulatory conditions

  • Retain strong legal knowledge by interacting with and seeking guidance from Philips Canada Legal Counsel in order to keep this knowledge up-to-date

  • Retain strong regulatory knowledge by interacting with and seeking guidance from Philips Healthcare Canada Director of Quality and Regulatory Affairs

  • Responsible for managing the end-to-end RFP response process according to Philips internal guidelines, from receipt of the RFP, to timely delivery of the high quality final product, ensuring all expectations, actions, and timelines are understood and met, including leading a virtual, cross-functional team

  • Coordinate, attend, and conduct kick off and other meetings / calls including ensuring that all key cross-functional areas are represented and develop detailed action plans and timelines based on submission requirements and deadlines

  • Delegate tasks among designated proposal stakeholders throughout the proposal process, and monitor progress with timely follow-up to ensure internal proposal deadlines are being met

  • Responsible for understanding RFP requirements, ensuring compliance and identifying questions, concerns and potential risks. Service Development

  • Develop a recommended proposal response structure and assemble foundation content that addresses requirements, business needs and develop overall response strategy in conjunction with the key stakeholders

  • Write persuasive executive summaries and other content through the integration of customer requirements, organizational accomplishments/strengths, evidence and corporate objectives/messages

  • Responsible for development/writing and maintenance of standard response content, templates, tools as required

  • Review responses for compliance, accuracy and ensure adequate reviews with stakeholders to ensure the integrity of all documents

  • Ensuring proposals are consistent with branding guidelines

  • Conduct research to contribute to service related content as required

  • Lead pricing decisions with thorough understanding of the Service requirements vs standard service offerings. Contract Management

  • Lead Service contract negotiations for dedicated service contracts and also support other contract managers with contract negotiations as needed. Team/People

  • Develop and maintain relationships with key stakeholders within the North American organization to promote engagement and leverage their knowledge

  • Build an understanding of the Canadian Healthcare organization and partner with the Service Sales organization to help drive business growth. Continual Improvement

  • Manage change and best practice development in the service contract process

  • Participating in proposal debriefings as required to drive continuous quality and process improvement development process

  • Participate in post proposal analysis on major RFPs, capturing lessons learned, and implement improvements to the service proposal content and process as required
