Philips Tradeshow Specialist in San Diego, California

  • Create & execute world-class events & tradeshows

  • For National shows be primary contact with booth vendor, coordinating equipment, stations etc. Support the execution of overall logistics including hotel room allocation etc.

  • Lead the planning for regional & local trade shows including booth plan, staffing, shipping of equipment & booth properties & literature as appropriate

  • Communicate clearly & often with booth vendor, marketing & local sales to plan and execute our tradeshows with a high level of professionalism & transparency.

  • Support post event analysis by ensuring a lead retrieval system is present for every tradeshow & symposium event.

  • Use Philips infrastructure & established processes to ensure events meet budget and are in compliance (i.e. the EMT tool)

  • Plan tradeshows to be in budget (30 day pre approval on estimated expenses) and to confirm actual expenses with in 30 days post show.

  • Work with agencies/vendors to optimize and enable more efficient execution of 3rd party and proprietary events

  • Work with Marketing teams to choose product/solution requirements to promote within the event portfolio

  • Ensure timely payment of vendors, in compliance with Philips procedures including: creating POs, ensuring payment of invoices and liaising with suppliers.

  • Provide on-site support during events, tradeshows and exhibitions as required by the size of the show

  • Arrange the logistics, housing, bookings of meeting rooms or demo rooms of large corporate events.

  • Complete any special tasks or duties as assigned by your Manager.

In this role, you have the opportunity to work with a cutting edge product line - IGT Devices is part of the Philips Image Guided Therapy (IGT) at https://intranet.philips.com/Pages/Image-Guided-Therapy.aspx business group. As the Tradeshow Specialist, you will create and execute world-class events and tradeshows.

You are responsible for

  • For National shows be primary contact with booth vendor, coordinating equipment, stations etc.

  • Lead the planning for regional & local trade shows including booth plan, staffing, shipping of equipment & booth properties & literature as appropriate

  • Communicate clearly and often with booth vendor, marketing & local sales to plan and execute our tradeshows with a high level of professionalism and transparency

  • Use Philips infrastructure and established processes to ensure events meet budget and are in compliance

  • Ensure timely payment of vendors, keeping meticulous records and in compliance with Philips procedures including: creating POs, ensuring payment of invoices and liaising with suppliers

  • Arrange vendor payment in a timely manner, of payment

  • Prepare pre-event budget estimates 30 days prior to events, and complete budget wrap up reports within 30 days after conclusion of the event

  • Provide on-site support during events, tradeshows and exhibitions as required by the size of the show

  • Arrange the logistics, housing, bookings of meeting rooms or demo rooms of large corporate events

  • Complete any special tasks or duties as assigned

  • Travel is required up to 25% - domestically

To succeed in this role, you should have the following skills and experience

  • Certified meeting planner required

  • Minimum of 3 years’ experience in tradeshow planning, in a medical/ scientific field preferred

  • Bachelor’s degree preferred

  • Expert skills level required with Microsoft Excel, PowerPoint and Word

  • Collaborative approach with a problem solving attitude
