Philips Risk Management Markets Executive Assistant in Amsterdam, Netherlands

As Executive Assistant you will be responsible for:

  • Setting-up and managing the communication flow for the Manager and within the team;

  • Performing, entirely independently, the range of secretarial tasks (screen incoming and outgoing mail of the Manager, calendar management, plan meetings, video/conference conferences, travel arrangements and related expenses etc. by using several tools i.e. MS Office, BookClickGo, SRM, SAP etc.);

  • Planning and organizing regular meetings, operational meetings, trainings and workshops and participate in various special projects;

  • Structuring and enabling access to essential information for targeted employees by using a portfolio of modern communication / data sharing technologies (i.e. SharePoint, Facebook, Lync, OneDrive etc.);

  • Dealing with sensitive, complex and confidential information;

  • Supporting people to deliver commitments and results

  • Sharing knowledge; continuous focus on improvements in purpose of tools, processes and approaches with others;

  • Actively supporting organizational changes and development.

In this role you will be

instrumental in ensuring the smooth and efficient working of the Global Risk Management Markets team and Strategy and New Business Development ( SNBD) for International Markets, supporting the team in delivering at its best and puts you in the centre of the strategy and the execution in the Markets.

The job demands experience at a senior level in a similar role. The ability to understand the formal – and informal – organizational structure and dynamics will be essential to success, as will quickly understanding the core purpose, content and priorities of the Markets and Strategy team. Structure, discipline, planning ahead, proactivity and good communication skills are essential ingredients for success. A sense of humour also helps!

You will make a difference by helping her team stay connected in this fast-paced environment. Agenda management, priority setting, structuring communication flow, ensuring timely availability of critical information, organizing events and meetings, receiving visitors, managing internal projects and assisting the team in day challenges is at the core of the role. You will also play a ‘primus interpares’ leadership role for the other assistants in Markets and SMAP (Strategy, M&A and Partnerships organization).

This job requires full-time commitment with a degree of flexibility to now and then work outside normal hours.

You are a part of

As Executive Assistant, you will be part of the Risk Management Markets team - a group of dedicated international professionals. You will report into the Head of Risk Management Markets and Head of Strategy and New Business Development International Markets, based out of Amsterdam. At the same time, you will belong to the group of senior professional Executive Assistants in Philips, including those directly supporting Philips Executive Committee members and other Senior Leadership.

To succeed in this role, you should have the following skills and experience

  • at least 15 years’ experience in an executive assistant role, preferably in a dynamic and international environment;

  • A bachelor degree in administration or related field;

  • Experience in an executive assistant role - preferably in a dynamic and international environment

  • Pro-active problem solver who takes the initiative, can work independently

  • Solution orientated, enthusiastic, positive, open and caring person

  • Discrete while enjoying the highly dynamic environment of Markets

  • Team player; working also together with other assistants in the International Markets Organization

  • Structured, knows how to set priorities under high pressure and keeps a clear overview

  • Pro-active, takes initiatives and makes independent decisions

  • Creative and flexible, capable of generating fresh ideas in the interest of finding new possibilities

  • Excellent analytical and communication skills combined with the ability to convince internal and external stakeholders

  • Proficiency in English and Dutch;

  • Willingness to work beyond regular working hours in special occasions
