Works on problems of moderate scope where the analysis of data requires a review of a variety of factors using Root Cause Analysis. The development of the solution requires a multidisciplinary approach and knowledge of basic principles, theories and concepts. Formulates the solution for (technical) partial problems by combining previous experiences based upon technical analysis and (feasibility) studies. May lead small projects, managing a small number of people.

The Executive Assistant partners with and provides support to the BG Ultrasound Business Leaders . As a Senior Level Assistant, you need to be pro-active in enabling decision making and prioritization as well as being comfortable with independent decision making. In view of the nature of the interactions and the speed of action, it is critical that you are skilled at maintaining key relationships and able to handle details of a highly confidential and critical nature .

You are responsible for (but not limited to)

  • Working in close collaboration with the Business Leaders to assure smooth running of the team’s schedules while keeping in mind the balance of Management team and individual team member business priorities

  • Coordination of detailed agendas for in person and globally dispersed teams, including, but not limited to the following:

  • Assuring the agenda is proactively planned, shared and managed

  • Proactively and in real time, directly assuring all technical elements of the meetings are managed (IT, A/V, phone, etc)

  • Capturing detailed meeting minutes, actions and owners with both accuracy and context

  • Setting up and maintaining digital tools to facilitate connectivity across the global team, which may include any/all of the following or others:

  • Social media

  • Intranet community

  • Intranet pages

  • Sharepoint (both setting up the structure, managing access rights and maintaining currency)

  • Communication with Senior Leaders and Customers, either in person or via writing

  • Performing, entirely independently, the full range of secretarial tasks for the Executive and team, involving a very high level of responsibility, confidentiality and eye for detail

  • Arranging complex travel itineraries, connecting to social tools and/or compiling travel-related documents (including international visas)

  • Screening incoming calls, e-mails and correspondence and responding in a timely and professional manner

  • Liaising with various departments and levels in company

  • Be responsible for the general administration, expense reports and calendar management of the team

  • Possessing an overall knowledge of the main departmental projects and daily priorities in order to ensure smooth information and work flow internally and externally

  • Perform meeting scheduling, conference room reservation, and travel planning as requested by department members or those you support.

  • Use Microsoft Office Suite and/or Philips specific applications to perform various tasks as requested by managers and individual contributors in the department or by those you support - examples include training systems, time management, expense reporting.

  • Update and maintain organizational charts and Clarity entries as required.

  • Manage P-Card purchases.

  • Support other administrators in their absence or as back-up when other tasks require their attention.

  • Take on roles to assist others both within and outside our department in specific tasks/applications where you have developed additional skills or expertise.

To succeed in this role, you should have the following skills and experience

  • Bachelors or equivalent is required

  • Minimum of 3 years experience in an administrative support role

  • Ability to research and interpret data, sift through complex information and present conclusions

  • A high aptitude for technology and finding the right tool for the problem, including technology and/or online resources

  • Workday and SharePoint experience preferred

  • Uses “Google” as a verb

  • International scheduling and calendar management for large complex teams

  • Be a commesurate problem solver who is solutions orientated, mature, and enthusiastic and who holds others accountable for performance, feels at ease in an international environment and knows how to set priorities under high pressure and keep a clear view

  • Project Leadership

  • Mastery of MS Collaboration tools such as SharePoint, MS Teams, etc

  • Event Management /coordination

  • Proactive

  • Ability to understand the framework of the organization and the importance of requests and when to push back – filter out the noise and help drive the important and urgent items for the organization.

  • Independent thinkers who never need hand-holding. Should they become overwhelmed, they prioritize, delegate and then proactively follow-up

  • Excellent people skills and a superb communicator
