You are responsible for
Provide administrative support to leader(s) in Philips North America Strategy. Activities will include, but not limited to: managing complex and frequently changing domestic and international meetings and travels, preparation of documents, spreadsheets, presentations, expense reports and coordination of visitor and candidate schedules.
Provide additional administrative support including, but not limited to: maintaining department lists/contact sheets, tracking vacations/absences/travel itineraries, processing technical documents and memberships, preparing purchase requisitions, purchasing office supplies and project items as well as coordinating mail/Fed-ex/fax requests, with particular attention to administrative support for staff at remote sites
Triaging and prioritizing department needs while maintaining a high level of engagement with all involved.
Scheduling and coordinating department and project meetings, and offsite meetings/activities as needed.
Team up other assistants in site-related activities; work closely with and cover for other assistants (as needed)
Maintain and update operational procedures to enhance efficiency of work tasks and manage the department SharePoint, both content and technology
Additional department specific tasks as assigned

To succeed in this role, you should have the following skills and experience
5+ years of related experience supporting executive staff
College-level education preferred
Able to prioritize multiple projects and job responsibilities with competing deadlines (organizational/time management skills)
Experience working in a large, global company strongly preferred; ability to deal with different time zones, currencies, work practices and schedules, and cultural differences
Able to perform a variety of job tasks simultaneously, and flexible to changing priorities and demands
Strong workload management and problem-solving skills. Must be able to balance workload, including short-range issues and long term planning.
Strong communications and interpersonal skills. Must be able to work well with people from a variety of backgrounds and disciplines, e.g. technical, business, administration.
Advanced in Word, Excel, PowerPoint and web tools. Ability to learn new tools
