In this role, you have the opportunity to

Use your communication skills to help colleagues from all over Europe with HR related questions. You will be the contact point for General Management, HR managers and Employees. We invite you to embrace the challenges of communicating with at least 8 different countries (United Kingdom, Germany, Austria, France, Spain, Italy, Russia, Poland) while working in an international team

The purposes of this position are to provide transactional and administrative services related to in scope processes (Admin & Payroll and Compensation & Benefits admin), including mass transaction updates

You are responsible for

  • Ensure that incoming enquiries to the Service Centers are answered in a professional and efficient manner (e.g. via e-mail, telephone, or chat)

  • Gather all required information as the first point of contact to ensure that customer enquiry can be resolved at earliest opportunity with minimal handofd activities

  • Ensure that enquiries escalated by the HR Contact Center Advisors are answered and transactional activities are processed in a professional and efficient manner

  • Perform data gathering towards HR managers – in case additional info is needed

  • Escalate cases to Functional Specialist or Tier 3, where guidance or clarification of policies and procedures is required

  • Collect completed forms, ensuring data is complete

  • Ensure that all necessary documents and approvals have been received before processing according to ICS/ SoX guidelines

  • Process changes in employee status, job status, cost center changes, pay, etc.

  • Perform other authorized changes in relevant backend systems

  • Administer employee life cycle events

  • Deliver sound customer solutions and builds effective relationships with customers

  • Manage multiple cases that last over a longer period of time

  • Act as Subject Matter Expert on relevant subjects

  • Produce and archives standard letters

  • File employee-related documentation as appropriate; maintain employee files and records

  • Manage and records document flows

  • Communicate and follow-up on timelines for specific HR-processes

  • Approve, reject, re-submit or escalate MSS transactions based on policies and guidelines

  • Approve, reject, re-submit or escalates ESS transactions based on policies and guidelines

  • Support delivery of reports within scope

  • Address potential process improvement solutions where applicable

  • Perform other related duties as assigned. Working on temporary projects as necessary and required

  • May work in other HR Services areas and "fill in" during periods of heavy workload

  • Use own knowledge and skills to ‘mentor’ other members of the team to a high standard

To succeed in this role, you should have the following skills and experience

  • Good knowledge of the English language, both verbal as in writing

  • Graduate with Bachelor or equivalent degree

  • Experience in HR Share Service Center is an additional asset

  • Knowledge and understanding of HR processes and policies

  • Effective listening and communication skills, highly developed interpersonal skills

  • Ability to answer queries on own initiative by effective use and interpretation of relevant data /available information

  • Ability to work as part of a team or on own initiative

  • Ability to work in a changing environment to meet demanding deadlines and timescales

  • Ability to effectively prioritize and organize workload, multi-task is essential

  • Personal integrity when handling confidential information

  • Ability to develop and deliver oral and written communications which convey complex information in a simple, easily understandable manner

  • Computer literacy essential and experience of Case Management tools and HR IT systems is preferred

  • Genuine interest for well-being and a healthy lifestyle

  • Fluency in Dutch is required
