As an IPS Learning Advisor in Philips Integrated People Services, your responsibilities are to support the deployment of classroom and online training in the Americas:
Manage intake and output of Philips learners, line and HR managers on learning cases and queries, vis a vis the standard case management system in PPS in line with PPS service levels, which can be related to the Learning Management System, the learning content available on the system or sessions that have been planned. Partner with Level (tier) 1 (as appropriate) in the review/development of FAQs and appropriate training to improve “first contact resolution rate.” Dispatch cases to global learning solutions team and/or the Philips University LMS Team, as appropriate. Session & content Management:
Schedule high volume of class sessions in the Learning Management System (LMS).
Calculate class pricing for learners or session pricing according the training providers contract.
Post and maintain appropriate financial data in LMS in close alignment with the Market Delivery Manager (MDM) in NAM
Constant communication in regards to logistics of classes with the venue, internal or external trainers.
Booking of external venue, communicate with other Philips sites to reserve training rooms, catering, etc.
Built and continuous to build relationships with our other US sites in order for them to help out with training logistics
Coordinate the printing of training material or ordering directly from vendor.
Manage the waitlists for sessions by means of the waitlist functionality in the LMS
Manage the Pending Approval report by means of the Pending functionality in the LMS to assure classes are filling up in a timely manner and communicate directly with managers to approve learner(s) enrollment.
Perform invoice control and ensure all actual costs are recorded in the LMS properly
Work closely with MDM, team members and Learning Specialists to manage custom training solutions that require a high level of experience working with external vendors, training venues, materials, financials and high visibility to management.
Manage a demanding calendar and work load of Tier 2 training requests
Create Shopping Carts (purchase order administrator) for learning and venue vendors (projected at $4 mil)
Vendor Invoice Management – review, approval of vendor invoices. Communicate and coordinate with vendors.
Monthly reconciliation with the NAM Market Delivery Manager to assure that vendor invoices are submitted and cost of training is captured in the CSoD system.
Communicate with financial analysts and/or AP teams to process and/or resolve vendor payment issues.
Fiscal management of Pcard, Meeting card and purchase orders aligned with training activities (
Communicate with external vendors in regards to submission of invoices to ensure timely payment.

To succeed in this role you should have:
Education level: Associates Degree and/or 5 years operational experience working with global teams.
Fluency in English and preferably local languages in the market (both verbally and written)
Strong organizational/administrative skills, customer orientation and service driven mentality
Excellent intercultural communication skills, ability to engage at various levels (including executive) within the organization
Flexible team player and pro-actively focused on results
Ability to multi-task (multiple priorities, cross functional demand) and project oriented capabilities
Demonstrated track record for being self-directed, high level of achievement, accuracy and quality control
Knowledge of LMS platform desired, as well as technology saavy including LiveMeeting, Web-ex, Producer, etc.
Competencies with MS Suite including Excel
