Learning Administration Specialist

In this role, you have the opportunity to

Support the regional Philips University Learning Partner and Academies in coordinating, planning and organizing learning programs, which can be e-courses, virtual learning programs or class room training programs. You will be responsible for managing all elements of session management in the Learning Management System in order to ensure quality control of session delivery and financial administration, including the creation of shopping carts, invoice control and financial reporting. You will also perform as Level 2 escalation for all Learners and Line Managers requests and queries.

You are responsible for

  1. Deliver level 2 functional support to Philips learners, line and HR managers on learning cases and queries, which can be related to the Learning Management System, the learning content available on the system or sessions that have been planned.

  2. Dispatch cases to global learning solutions team and/or the Philips University Learning Management System Team, when appropriate.

  3. Session Management:

a. Create Shopping Carts for learning and venue vendors if required

b. Calculate class session price and post this as such into the Learning Management System (in close alignment with the learning delivery manager)

c. Schedule class sessions in the Learning Management System.

d. Manage the logistics around the class (venue booking, facilities, catering, shipment of training material if not available in soft copy via the system etc.)

e. Manage the waitlists for sessions by means of the waitlist functionality in the Learning Management

f. Register attendance of learners of the session in the Learning Management System.

g. Perform invoice control and ensure all actual costs are registered in the Learning Management System properly

h. Run and check P&L reports to monitor training costs vs revenue.

  1. Coordinate Insights sessions:

a. Plan sessions in the learning Management System

b. Assign internal Insights facilitator based on input from the Delivery Manager

c. Create Insights profiles and team wheels and ensure they are sent to the facilitator in a timely manner

  1. Communicate with Delivery Manager, Learning Specialist, vendors and venues, learners, line- and HR-managers on the training planning and details.

  2. Manage Public Enrollments, including the financial administration around it.

  3. Enroll learners to Public Enrollment learning programs.

  4. Communicate with learners about Public Enrollment details.

  5. Manage the HR Portal content related to learning activities in the market and ensure up to date content is available by aligning with regional content specialist and other learning SMEs.

  6. Perform User Acceptance Testing activities as part of the change and release management process, managed by the global learning solutions team.

  7. Identify areas for improvement in process and customer service and suggest improvements to increase efficiencies and customer satisfaction towards the Global Learning Solutions Lead.

You are part of

A virtual team of approximately 12 Learning Administration Specialists, who are based in the regional PPS Centers, delivering support to the learners of the countries that are in scope of the PPS Center. You report to the regional PPS center lead and functionally to the Learning Solutions Lead.

To succeed in this role, you should have the following skills and experience

· Education level: Vocational level plus

· Fluency in English and preferably local languages in the market (both verbally and written)

· Strong customer orientation and service driven mentality

· Excellent intercultural communication skills, ability to engage at various levels within the organization

· Flexible team player and proactively focused on results

· Strong hands-on and can-do mentality

· Ability to manage multiple priorities from multiple individuals

· Project oriented approach to work with a strong focus on results

· Strong Organizational/Administrative Skills

· You work in an accurate and structured manner
