Supply Chain Department Assistant/Exectuive Assistance to the Operations Leader - Manila In this role, you have the opportunity to join the Global Business Services (GBS) department as a Supply Chain Department Assistant.
You will be working for the Operations Leader and will make a difference by helping her and her team to stay connected and operate efficiently in this this fast-paced environment.Structuring communication flow and ensuring that critical information is available, organizing events and meetings, coordinating projects and assisting the manager and her team with their day-to-day challenges is something you will be working on.This job requires full-time commitment as well readiness for fast-responsiveness beyond standard working scheme, if required.
You are responsible for:
Calendar management; organize and schedule (team) meetings and other events
Prepare meeting agendas and take minutes during meetings
Book international business travel arrangements, including flights and transportation
Set-up and manage the communication flow for the manager and within the team
Handle administrative requests (e.g HR)
Deal with sensitive, complex and highly confidential information.
Supporting people to deliver commitments.
Assist in administrative tasks.
To succeed in this role, you should have the following skills and experience:
4 year Bachelor’s Degree in any field ( Fresh Graduates of Industrial Engineering and Supply Chain are welcome to apply .)
Proven work experience in an (executive) assistant role, preferably in a dynamic and international environment is a must – at least 1 year experience
Excellent communication and organizational skills with an ability to think proactively and prioritize work
Proficiency in English
Experience with Microsoft Office Programs (Outlook, Word, PowerPoint)
Experienced in organizing flights, hotels and others is a must, used to work with different time zones
Experience with Skype (for business), Workday and Concur would be preferred
Solution orientated, mature and enthusiastic person who holds others accountable for performance, feels at ease in an international environment and knows how to set priorities under high pressure and keep a clear view.
